Privacy notice

This notice covers this website, beyondprop.co, and its demo-request form. It explains, in plain language, what we collect, why, who sees it, how long we keep it and what you can ask us to do. It follows the Protection of Personal Information Act, 2013 (POPIA).

It does not cover the Beyond product itself. When an agency uses Beyond, the agency decides what happens to its clients’ and staff’s information and is the responsible party for it; we process that information for the agency, as its operator, under a written agreement. The agency’s own privacy notice applies there.

Who we are

This site is run by the team that builds and sells Beyond, which is the responsible party for the information described here. The company’s registered name and number will be added to this notice before the site is launched. Until then, write to us at hello@beyondprop.co about anything in this notice.

What we collect

When you browse the site. We don’t use cookies, analytics, advertising tags or any third-party scripts, and we don’t build a profile of you. Like every website, our hosting provider’s servers record standard technical details of each request (your IP address, browser, the page asked for and the time) so the site can be kept secure and working. We don’t use those logs for anything else.

When you request a demo. The form asks for:

• your name, your agency’s name and your work email address;
• your mobile number, if you choose to give it;
• roughly how many agents and offices your agency has;
• what runs your back office today, if you choose to tell us;
• whether you’d like occasional product news.

We also record when you sent the request and the page you sent it from.

When you email us. Your email address and whatever you choose to write.

We don’t ask for, and ask you not to send, ID numbers, client records or any other special personal information.

Why we use it

• To arrange your demo and follow it up. You asked us to, and it is a step towards a possible agreement with your agency. This is the only reason we ask for your details.
• To send occasional product news, only if you tick the box for it. You can unsubscribe at any time, from any message or by writing to us. Not ticking it changes nothing about your demo.
• To keep the site secure, using the server logs described above.

We don’t sell or rent your information, and we don’t use it to make automated decisions about you.

Who sees it

• The people at Beyond who arrange and run demos.
• Service providers who host this site, receive the form and run our email, acting on our instructions under written agreements that require them to keep it secure and confidential (POPIA sections 20 and 21). We will list them here once they are confirmed.

If any of those providers keeps information outside South Africa, this notice will name the country and the safeguards that protect it, as POPIA section 72 requires. We would only share information beyond this list if the law required it.

How long we keep it

• Demo requests and the emails about them: for up to 12 months after our last contact with you, unless your agency becomes a customer, in which case the details become part of that customer relationship.
• Product-news consent: until you unsubscribe. We then keep only a record that you opted out, so we don’t contact you again.
• Server logs: for a short period, then deleted.

How we protect it

The site is served only over an encrypted connection (HTTPS). Access to demo requests is limited to the people who need it, and our providers must apply appropriate security measures under their agreements with us.

Your rights

You may ask us:

• whether we hold information about you, and for a copy of it;
• to correct or update it;
• to delete it, or to stop using it;
• to stop sending you product news.

To do any of these, write to hello@beyondprop.co. We will reply within 30 days, and we may need to confirm your identity first. Requests for records can also be made under the Promotion of Access to Information Act; see our PAIA manual.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You may also complain to the Information Regulator (South Africa): inforegulator.org.za or POPIAComplaints@inforegulator.org.za.

If we change this notice, we will publish the new version here with its date. Last updated: 14 October 2026.
